Information for Faculty

Course Material Adoptions

Each faculty member assigned to courses will receive an email that provides a unique link to access Verba Collect, where you will submit course material requests. If there are required supplies for your course, those should also be submitted via VerbaCollect. You can use the button below to review your adoptions. If you do not receive a link, please use the 'Recover your Verba Login' link below to request a new link.

Please be mindful of adoption deadlines

These deadlines are not firm, but they allow us adequate time to provide textbook information to students, source materials at the best price, and resolve any issues that may arise. If no text is required for a course, please provide that information to us as well.

Quarter Deadline
Fall May 31st
Winter October 31st
Spring January 31st
Summer April 30th

The Western AS Bookstore posts textbook adoptions at least 4 weeks prior to the start of the classes to keep compliant with the Higher Education Opportunity Act (HEOA) and Washington State's requirements. These policies stipulate that students must have access to course material informaion when making course decisions during registration. For additional information, please reference the HEOA, 516-40 WAC, and RCW 28B.10.590.

If you have any further questions, please contact us, our team is happy to help!

Inclusive Access for Faculty

What is Inclusive Access?

Inclusive Access (IA) refers to digital course materials that are provided to all enrolled students on the first day of class via WWU’s learning management system (LMS), Canvas. The cost for these materials is charged to student accounts prior to the start of the quarter, allowing students to use financial aid, scholarships, and have more flexibility in paying for course materials.

IA materials are guaranteed to be delivered at the lowest published price and are usually significantly cheaper than other formats of the same textbooks. Inclusive access leverages the purchasing power of the enrolled students to provide materials at a lower cost.

Course materials may include an e-text, or an e-text in combination with courseware (interactive learning components providing students with questions and feedback via customized software). The Bookstore can request publishers to provide an option of a loose-leaf supplement for use in-conjunction with the digital course in order to facilitate student choice. Note, loose-leaf materials are not always available from the publishers.

How it Works for Students

Students have access to the materials on the first day of the term. They are billed approximately 10 business days before the quarter begins, preceding the disbursement of financial aid funds to allow students to apply financial aid if desired. Students that enroll in an IA course after the quarter begins will be charged on a weekly schedule. Likewise, when students opt out of IA, refunds will be credited to their student account on a weekly basis.

Opting-Out of Inclusive Access

Students who opt out of IA will receive a refund credited to their student account. As the materials required are listed as REQUIRED by the instructor, students are responsible for paying for the necessary access on their own, or students can opt back into the Inclusive Access program. The only way to opt-out of the materials is through the link in Canvas. Students who opt-out of inclusive access may not have a way to complete assignments.

Inclusive Access Set Up

If you are interested in adopting IA for your course, please contact the Course Materials department at the Bookstore, or indicate interest in Verba Collect when completing your course adoptions. To indicate interest in Verba Collect, select "Has IA Interest" and/or answer "Yes" to the dropdown question asking "When available, the lowest priced option is digital delivery using IA. I want to provide this option to my students." The Bookstore will contact you regarding the eligibility of your course materials for the Inclusive Access program.

Integrating Inclusive Access

We work with VitalSource (our middleware provider), the publisher, faculty, and ATUS to integrate the materials into Canvas. For new publishers or new content, please allow 6-8 weeks for the review process with Information Security, Accessibility, and LMS.

  • Courseware: A contact from the publisher will help yu integrate the materials into your Canvas page.
  • eText Only: Your assistance will be needed in placing a link into your Canvas page.

Prior to the start of the quarter, the Bookstore will send you an email with several documents to help you set up your IA materials. These documents will include set up instructions and scripting for you syllabus.

The Bookstore communicates

Instructor resources are a separate component and are distributed to you outside of course material delivery for you to implement into your course via Canvas.
